2. Health & Special Category Information
Some services provided by The Set may require us or an appropriately qualified practitioner to collect information concerning your physical or mental health, injuries, medical history, pregnancy, medication or other relevant health circumstances.
Health information is considered special category personal data under UK data protection law and receives additional protection.
We will only collect and use health information where there is an appropriate lawful basis and additional condition for processing under applicable data protection law.
Health information will only be accessible to individuals who reasonably require access for the relevant purpose and will be handled with appropriate confidentiality and security.
Where an independent practitioner acts as a separate data controller for clinical or treatment information, they may provide you with their own privacy information.
3. How We Use Personal Information

create and administer your customer account;
process bookings and cancellations;
administer Credit Packs and memberships;
provide classes, appointments, treatments and facilities;
communicate with you regarding bookings or services;
assess suitability for certain activities where appropriate;

4. Our Lawful Bases

5. Booking System – Momence
The Set uses Momence to support the administration of customer accounts, bookings, classes, appointments, Credit Packs, memberships and related communications.
Personal information entered into or generated through the booking system may therefore be processed by Momence on our behalf in accordance with our arrangements with the provider and applicable data protection requirements.
Customers should also review any privacy information presented by the booking platform where applicable.
6. Payments
Payments may be processed using third-party payment service providers.
The Set does not necessarily receive or retain complete payment-card details. Payment information may instead be processed securely by the relevant payment provider.
Payment and transaction records may be retained where necessary for accounting, contractual, fraud-prevention and legal purposes.
7. CCTV
CCTV operates in designated areas of The Set premises.
CCTV is used for legitimate purposes which may include:
maintaining the safety and security of customers, staff, practitioners and visitors;
protecting The Set’s premises and property;
preventing and detecting crime;
investigating security or safety incidents; and
assisting with the establishment, exercise or defence of legal claims where appropriate.
CCTV records video footage only. Audio is not recorded.
CCTV is not installed in areas where individuals would reasonably expect a high degree of privacy, such as toilets, changing facilities or clinic 1 and 2.
CCTV footage is accessible only to authorised individuals and will be retained only for as long as reasonably necessary for the purpose for which it was collected.
Our standard CCTV retention period is 7 working days, unless footage needs to be retained for longer because of an incident, investigation, legal obligation, insurance matter or legal claim.
Footage may be disclosed where appropriate and lawful, including to law enforcement agencies, insurers, professional advisers or other relevant parties.
Individuals may have rights in relation to CCTV footage containing their personal data, subject to applicable legal exemptions and the rights of other individuals captured in the footage.
8. Marketing Communications
Where permitted by law, The Set may contact customers regarding services, events, news and offers.
Where consent is required for electronic direct marketing, we will obtain it before sending such communications.
You may withdraw your marketing consent or unsubscribe from marketing communications at any time.
Withdrawing from marketing will not prevent us from sending necessary service communications, such as booking confirmations, cancellations, payment information or important account notices.

Where necessary and lawful, personal information may be shared with:
members of The Set team who require access;
practitioners and instructors involved in providing your chosen service;
our booking and customer-management platform;
payment processors;
IT, website and technology providers;
accountants, insurers, solicitors and other professional advisers;

law enforcement, courts, regulators or public authorities where required or permitted by law; and
other service providers processing information on our behalf.
We do not sell personal information to third parties.
Where independent practitioners operate as separate data controllers, they are responsible for their own processing of personal information.

Some technology or service providers used by The Set may process or store personal information outside the United Kingdom.
Where personal information is transferred internationally, we will take appropriate steps required by UK data protection law to ensure that the information receives an appropriate level of protection.

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, regulatory, accounting, insurance and contractual requirements and to establish, exercise or defend legal claims.
Different categories of information may therefore be retained for different periods.
